Terms & Conditions
Document No.: PJE-TC-001r3
Date: October 21, 2026
Article 1. Services and Transportation
Pan-Japan Experiences (hereinafter referred to as "the Provider") offers private guided experiences focused on Japanese history and culture.
Transportation between destinations is generally provided by vehicle as an incidental part of the guiding service. Transportation is not offered as a standalone service, nor does it constitute the primary purpose of the service.
Depending on traffic conditions and the circumstances at each destination, walking or public transportation may be used instead.
Article 2. Pricing, Booking Confirmation, and Payment
Prices displayed on the website are for reference only.
A quotation will be issued after reviewing the requested destinations, itinerary, duration, and other relevant details. The final price will be determined upon mutual agreement between the guest and the Provider.
Unless otherwise specified, guests are responsible for admission and entrance fees, including those of the guide, as well as their own meals and public transportation fares.
The Provider generally covers the guide's own meals and public transportation fares, along with vehicle-related expenses such as fuel, parking fees, and tolls.
A booking is generally confirmed upon completion of payment. Payment is requested no later than the day before the scheduled service date.
Payments are generally processed through a Stripe payment link. Alternative payment methods or conditions will be communicated individually.
Article 3. Cancellations, Service Termination, and Refunds
For cancellations initiated by the guest, the following refund policy applies based on the scheduled service start time:
72 hours or more before the start: Full refund
Less than 72 hours but at least 24 hours before the start: 50% refund
Less than 24 hours before the start: No refund
If a guest fails to arrive within 30 minutes of the agreed meeting time and cannot be contacted, the booking will be treated as a no-show and no refund will be issued.
If the Provider is unable to deliver the service for reasons attributable to the Provider, the full service fee paid will be refunded. Any exchange-rate differences arising from the refund will be addressed through mutual discussion.
In cases of severe weather, natural disasters, or other circumstances beyond reasonable control that make it unsafe to proceed, the service may be rescheduled or canceled following discussion between both parties. If the Provider decides to cancel the service before it begins, the full service fee paid will be refunded.
Refunds will generally be made to the original payment method.
Cancellation requests may be submitted by email or through another communication channel previously agreed upon by both parties. The cancellation time will be determined by when the Provider receives the request, based on Japan Standard Time (JST).
Article 4. Itinerary Changes Due to Weather or Transportation Conditions
The itinerary or scheduled destinations may be adjusted due to weather, traffic congestion, public transportation disruptions, temporary facility closures, or similar circumstances.
Such adjustments generally do not entitle guests to an extension of service time or a refund.
Article 5. Itinerary and Service Duration
Service hours are calculated from the agreed meeting time to the scheduled end time.
Late arrival by the guest does not generally result in an extension of the scheduled end time. However, the guide may make adjustments at their discretion depending on the circumstances.
The itinerary and destinations may be adjusted according to the day's conditions, the guest's preferences, and the pace of travel and sightseeing.
If not all scheduled destinations can be visited due to the guest's circumstances or pace, an extension of service time or a refund will generally not be provided.
Article 6. Changes to Booking Details
Requests to change the number of guests, itinerary, service duration, or other booking details after confirmation will be accommodated where reasonably possible.
A revised quotation will be issued only if the requested changes affect the price. The revised price will be finalized upon mutual agreement.
Article 7. Guest Responsibilities
Guests are responsible for wearing appropriate clothing and footwear suitable for the destinations and activities included in the service.
Guests must comply with the rules of each destination, including restrictions on photography, touching exhibits, and access to certain areas. If unsure, guests should consult the guide.
Guests are requested to inform the Provider in advance of any dietary restrictions, mobility limitations, or other circumstances that may affect the service, and to assess their own suitability for participation.
Article 8. Liability and Compensation
The Provider shall not be held responsible for accidents, injuries, loss, or theft of personal belongings resulting from the guest's intentional acts or negligence where no liability is attributable to the Provider.
The Provider does not guarantee the quality or terms of services offered by third parties, including attractions, restaurants, and other external service providers.
If the Provider causes damage or loss to a guest through intentional misconduct or negligence, the Provider shall bear liability for compensation in accordance with applicable law.
Article 9. Suspension or Termination of Service
The Provider may suspend or terminate the service if it becomes difficult to continue safely due to disruptive behavior, dangerous conduct, violations of laws or destination rules, illness, or other health-related concerns involving the guest.
No refund will generally be issued if the service is terminated due to the guest's disruptive or dangerous behavior.
If the service is terminated due to the guest's illness or health condition, any refund will be considered individually based on the circumstances and the portion of the service already provided.
Article 10. Personal Information
Personal information collected in connection with the service will be handled appropriately in accordance with the Provider's separately published Privacy Policy.
Article 11. Amendments to These Terms
The Provider may amend these Terms & Conditions when necessary.
Revised terms will generally apply to bookings confirmed on or after the effective date of the amendment. Bookings confirmed before that date will remain subject to the terms in effect at the time of booking.
Exceptions may apply where required by law or where otherwise mutually agreed upon with the guest.
Article 12. Governing Law
These Terms & Conditions shall be governed by and interpreted in accordance with the laws of Japan.
